Efficient operation - University Business magazine - September 2012

In July news we published an item about our work with Kinetic Solutions: Liberty Living trials rooms inspection software. Software has been trialed by Liberty Quays Southampton, Liberty Park Bedford and Liberty Point Manchester. September’s University Business includes the following article:

Improve operational efficiency at your university with the latest software from Kinetic Solutions

Many universities including Edinburgh and Kent appreciate the value of software that specifically improves the efficiency of their operation and gives them a competitive advantage.

Following consultation with universities, Kinetic Solutions, the UK’s leading specialist provider of student accommodation, conference and hospitality management software has introduced a new product, KxInspections to assist in delivering this efficiency. One of the first organisations to integrate this solution is specialist student accommodation provider Liberty Living, provider to more than 30 of the UK’s most prestigious universities.

Liberty Living is able to provide both universities and students with a diverse accommodation offering that is even more efficiently managed because KxInspections synchronises directly into the back office KxStudent system which manages the entire student housing process, updating students’ records and rooms.

Fundamentally KxInspections is bedroom inventory control software that completely automates traditionally paper based processes, capturing accurate information in a fraction of the time and streamlining charges and refunds with automated uploading of data.

Having already installed KxStudent with successful results and tangible benefits, Liberty Living was keen to add the KxInspections application, excited and attracted by further resource savings including a new deposit management process and even more efficient audit function.

Andrew Brewer, financial and systems controller for Liberty Living comments, “We chose to work with Kinetic Solutions to develop the room inspections software based on their understanding of our business, our historical relationship, the integration capabilities with the established suite of Kinetic software and their innovative approach of developing solutions that have real commercial benefit.”

Some of the key features that provide greater efficiency include the ability for inspections to be automatically generated if students move rooms and sending automated correspondence immediately following an inspection. There is a function to track the overall condition of inventory stock and the inspection status can be set at ‘pending’ if further assessment is required. Charges and refunds are streamlined with automated uploading of data so that damage charges can be automatically deducted from deposit payments and deposit refunds can be made faster and more efficiently. From both the university and the student perspective this is obviously enormously appealing.

Liberty Living’s Clare Ody, based in Southampton comments, “The auto inspection trial has gone extremely well in Southampton. We have completed 562 inspections in a very short period of time and it has dramatically reduced administration requirements post check-out, enabling staff to be focused on the residents Campus Services in-house and the new summer arrivals…. I strongly believe that the auto inspection system and device will be recognised as an essential tool not only within Liberty Living, but within the industry as a whole.”

Liberty Living acknowledges that for university accommodation providers such as themselves and also for universities directly who are managing their own student accommodation offering, KxInspections can deliver large resource savings with its post inspection administration process. As the process is fully audited, it is expected to assist with disputes and Tenancy Deposit Scheme queries, which is undoubtedly incredibly valuable, particularly in terms of safeguarding resources.

KxStudent has for some time been regarded as the most comprehensive student accommodation software system available and with the easily integrated addition of KxInspections universities can spend even less time on administration and more on improving the student experience, which ultimately enhances the reputation of the university.

Chris Wildsmith, managing director of Kinetic Solutions is delighted by the response to KxInspections, commenting, “For over 12 years we have been integral to our clients businesses, a trusted partner developing real solutions that deliver real impact. We listened to our customers who were having problems with managing inspections and inventory, worked with them to develop the product and were able to launch within six months.”

KxStudent manages the entire student housing process, enabling universities to respond faster to student applications, making offers based on their chosen preferences literally in a matter of minutes. Functionality includes online applications, contracts, deposits, move requests, induction and inventory checking and damage logging. Students can complete all of these simply and quickly via the web, ensuring the whole process of securing accommodation is stress free.
